BUILT AROUND YOUR WORKFLOW

Catering work moves through sales, event planning, fulfillment and finance. EazePro’s existing catering foundation connects those stages so the event details and payment position remain available to the people doing the work.

The event keeps changing after the first inquiry

An organizer starts with a date and estimated headcount. The menu, address, delivery window and billing contact may arrive later. A repeat customer may have several events open at once. Treating every conversation as a new customer record makes it harder to see what belongs to which opportunity.

Use a distinct lead for the event and connect it to the person and company. Keep the requested date, scope and follow-up visible while the menu and guest count are being confirmed. A won opportunity should be supported by the actual order or estimate context, not just a promising conversation.

Capture the details that sales and operations both need

Record the information your team uses to prepare the estimate and fulfill the event. Clearly distinguish a request from a confirmed commitment. If a customer changes the headcount or delivery instructions, make the current version understandable to the staff preparing the work.

Keep sensitive instructions limited to what the team needs. Confirm menu and service decisions with the customer through the proper workflow; a generated summary should not decide how the event will be delivered.

  • Event date and time, guest count, location and fulfillment method.
  • Requested menu, service items, delivery instructions and open questions.
  • Customer, company, salesperson and billing contact.
  • Quote status, agreed follow-up and linked estimate or order.

Move from sales into the operational day

Prepare the estimate in EazePro and record the sales follow-up. Use orders to organize confirmed work, quantities, notes and fulfillment details. The shared operational calendar includes direct orders and third-party pickup work so the team can review what is coming.

Delivery workflows include driver assignment and delivery progress where configured. Keep the sales and operations handoff explicit: a CRM follow-up is not a delivery instruction, and a booked order is not proof of completed payment. Each record answers a different question about the event.

Ask AI for the information you need before the rush

A supported connected assistant can read the upcoming schedule, retrieve an order, summarize sales and show the day’s delivery progress. With appropriate sales access it can also create or update leads, save call notes and set follow-up dates.

Use a precise date range and timezone in the request. Ask for the underlying record when something needs attention. The current connector excludes raw driver GPS and delivery-proof media, and it does not create orders, send invoices, change the schedule or move money.

Give me tomorrow’s catering briefing in Toronto time. Include scheduled orders, recorded fulfillment details, due sales follow-ups and customer balances that need review. Flag missing information; do not change any orders.

Keep the remaining balance visible

EazePro’s receivables view separates relevant unpaid direct-order balances and recorded payments. Review the remaining amount, event timing and invoice state before deciding who needs a reminder. An invoice total is not the same as the amount still owed after a deposit.

Your team handles invoice creation, reminders and configured payment workflows in the application. AI can help retrieve the financial context through permitted reads. A request to “check payment” should return the recorded position; it should not be treated as permission to charge or refund a customer.

Evaluate the parts of catering that matter to your team

Bring a repeat corporate customer with two events, one changed headcount, one third-party pickup and one partially paid invoice to the demo. Have sales, operations and finance each find the information they need. This is a more revealing test than looking at a dashboard in isolation.

Kitchen production sheets, recipe costing, inventory, rental management and a public customer-ordering storefront are separate capabilities to verify. The existing foundation is strong in catering orders and operations; it does not establish every function of an enterprise catering suite. Start with an event type your team handles regularly and evaluate the handoffs end to end.

Questions from service owners.

Can EazePro handle repeat customers with several events?

The product has customer/company records, separate sales leads and separate orders. Use a representative repeat-customer example to confirm your team can distinguish each event and its billing.

Can AI create catering quotes and invoices today?

Create those documents through the EazePro application. The current connector supports CRM writes and operational or financial reads; it does not create quotes, invoices or orders.
