A cleaning business needs more than a calendar. You need to know what the customer asked for, what you quoted, who needs an answer and what remains unpaid. EazePro connects that sales and admin work, with an AI assistant for selected CRM tasks and business questions.
The admin starts before the first clean
A move-out request arrives while you are finishing another job. The customer gives a date and a number of rooms, but leaves out the condition of the property and whether appliances are included. By the evening, the details sit across a text conversation, your notes and a half-written estimate.
The first useful improvement is a complete opportunity record. Capture the customer, property, service request and next question together. A scheduled follow-up makes the unfinished decision visible. It also lets another team member pick up the conversation without asking the customer to repeat everything.
Capture enough detail to quote the actual job
Use the lead notes to document what is included and what still needs confirmation. Separate a customer’s requested date from a confirmed appointment. A request for Friday is not a reservation until you have checked capacity and agreed the scope.
A good intake checklist helps you avoid promising a deep clean at the price of a maintenance visit. Record facts the customer supplied; label assumptions that still need a conversation. EazePro’s general records can hold the context, but specialist cleaning forms and automated pricing rules should be tested in your demo.
- Service type: move-out, one-time deep clean or maintenance request.
- Property address, approximate size, condition and access arrangements.
- Inclusions and exclusions: appliances, windows, supplies and specialist treatments.
- Requested date, decision maker, quote status and next follow-up.
Move from inquiry to quote to scheduled work
Create the lead and record the outstanding scope questions. Build the estimate in the EazePro application once you have enough information to price the work. Keep the next follow-up with the opportunity so a sent quote does not disappear into yesterday’s inbox.
When the customer agrees, record the work and review the schedule in the application. Before the visit, confirm access instructions and any scope changes. Keep the invoice and payment history attached to the work so your office can answer a billing question without reconstructing the job from memory.
Give your assistant a specific admin task
A connected assistant can create or update a lead, add notes and set a follow-up date when the user has the appropriate access. Ask it to find follow-ups that are due or read the work scheduled for a defined period. Check the saved lead and next step after a write.
Customer messages must be supplied deliberately; the connector does not monitor your text inbox. It also does not send quote follow-ups or create recurring cleaning appointments. Quotes, scheduling changes and customer communication remain actions you handle through the appropriate application workflow.
Create a lead for a move-out clean at 18 Cedar Lane. Three bedrooms; oven cleaning requested; access details unconfirmed. Record Friday as the requested date and set my follow-up for tomorrow at 10 a.m., Toronto time.
Check recurring-service requirements before switching
A company built around one-time cleans has different requirements from a team with recurring weekly routes. If automatic recurring visits, crew substitutions, cleaner checklists, time tracking or route optimization are essential, include each in the fit review. A shared calendar alone does not establish those capabilities.
Start the trial with one realistic customer journey. Have the person who handles quoting enter the lead, the person coordinating work review the schedule and the person collecting payment check the invoice. A successful trial ends with everyone locating the same facts without a separate spreadsheet.
Measure a better process, not just a busier calendar
Compare a normal week before and after the trial. Track how many open inquiries lack a next step, how often the team has to ask for missing scope details and how long it takes to identify an unpaid job. These are evaluation measures, not promised EazePro improvements.
If the workflow fits, expand from one service type to the next. Keep pricing, recurring-service rules and customer communication decisions explicit. Software should make those decisions easier to carry out; it should not silently decide what your company has agreed to deliver.
Questions from service owners.
Does EazePro automatically schedule recurring cleans?
Recurring crew scheduling is not established by this page. Review recurring appointments, availability and dispatch requirements before adopting EazePro for that workflow.
Can AI send cleaning quotes for me?
The current EazePro connector can manage CRM records and read operational information. Create and send quotes through the application; AI quote creation and customer sends are not current connector actions.
